Two weeks into January, three requests landed on my desk on the same morning.
The facilities manager said we needed to replace thirty worn-out task chairs in the main office. The communications director asked for a photo printer so staff would stop borrowing one from the high school. Since that week, I run every meaningful order through the same five lines:
- The quoted price, not the estimated savings.
- Expected lifespan and warranty, written down.
- Consumables and service costs: ink, parts, filters, cleaning supplies.
- Who supports it after year one, and how fast.
- The time my team will spend managing problems.
That last one is the one I used to ignore. Time is not free. When our cheap chairs broke, I spent hours on emails, phone calls, and invoices. The vendor who couldn't provide proper service cost us more than the price difference ever saved.
The three requests that landed in January turned out to be the same request. They were all asking me to remember that the first number on a quote is just the beginning, not the end.
In 2021, I bought cheap chairs and learned the hard way. In 2025, I bought something that will still be supported in ten years. I wish I'd known the difference sooner, but I know it now.
